Weathering the Storm

Weather-related emergencies can strike with little warning, making preparedness a critical responsibility for service providers. Organizations must be equipped to manage emergencies that can disrupt operations and threaten the well-being of those they serve. An effective emergency preparedness plan is not only vital for safeguarding employees and patients but also ensures the continuity of business during crises. By proactively planning for natural disasters and other unforeseen events, companies can minimize risks and maintain stability when it matters most.

AdaptHealth has successfully navigated numerous natural disasters, including hurricanes, wildfires, and significant flooding, while maintaining an unwavering commitment to the safety of both employees and patients. This focus on safety remains central to operational preparedness and response strategy.

In recent years, the Corporate Compliance team partnered with Operations to develop the Emergency Call Campaign to enhance their proactive approach to disaster readiness. When advance notice of an emergency is available, this campaign enables timely communication with patients to alert them of impending conditions and remind them to prepare accordingly. Over time, the program has proven to be one of the most effective tools for ensuring continuity of care during natural disasters.

In the past, providers had to contact patients one by one to confirm they had adequate supplies, a process that could take days, or even up to a week, when supporting large patient populations. Today, patient lists are uploaded directly into their phone system, allowing automated notifications to be delivered efficiently and at scale. Patients who need additional supplies can then proactively reach out to their local provider to arrange shipment or delivery of oxygen and related equipment based on their individual needs.

*Voice and/or SMS outreach exceeded original patient lists due to expanded emergency criteria, re‑contact attempts, and multi‑channel escalation during active events.

Observations

The following observations highlight key trends and performance insights from the Emergency Call Campaign. Analysis of outreach activity across multiple emergencies shows clear themes in effectiveness, scalability, and operational impact.

  1. Proven Scale During High‑Impact Events
  • Successfully executed large‑scale outreach for 80,000+ patients in a single multi‑state campaign (Hurricane Helene, Sept 2024).
  • Demonstrates enterprise readiness and reliability during complex, rapidly evolving emergencies.
  1. Consistently High Reach Rates
  • Voice contact effectiveness remains strong, averaging ~90%+ reach across major hurricane and wildfire events.
  • Performance is maintained even during peak disaster activity and compressed response windows.
  1. Multi‑Channel Maturity & Expansion
  • SMS capability introduced and expanded beginning late 2024, significantly increasing total patient touchpoints.
  • 2026 events show SMS volumes exceeding patient lists, reflecting escalation, redundancy, and improved preparedness.
  1. Improved Employee Safety & Operational Efficiency
  • Automated communication reduces the need for manual calls and non‑essential deliveries during severe weather.
  • Keeps delivery personnel off the road during hazardous conditions, supporting compliance with local and state safety guidance.
  1. Program Evolution Over Time
  • 2024: High‑volume deployment and proof of scalability.
  • 2025: Targeted, lower‑volume events with flexible outreach expansion.
  • 2026 YTD: Mature, multi‑channel execution with sustained effectiveness and increased redundancy.

AdaptHealth’s safety centered program not only enhances patient preparedness but also significantly reduces operational risk for employees. By limiting manual outreach and avoiding nonessential deliveries during severe weather events, we help keep delivery personnel off the roads during hurricanes and winter storms. This approach allows employees to follow local and state safety guidance, reinforcing  commitment to well-being while still maintaining reliable support for patients.

As natural disasters continue to pose challenges, AdaptHealth’s approach serves as a model for resilient and responsible healthcare operations, proving that thoughtful planning and adaptive strategies are essential for meeting the needs of those we serve, even in the most difficult circumstances.
